Setting up your school calendar is a vital step in maintaining a functional Hero school. Having a bell schedule correctly assigned ensures that teacher rosters, student schedules, and tardy write-back data remain accurate. If a day is left blank or assigned the incorrect schedule, it can lead to significant discrepancies in your daily attendance records and reporting.
Getting Started
Now that you have created your bell schedule(s), you must designate which days those schedules apply to. Most schools utilize a standard schedule for the majority of the week, but may require an "Early Release" or "Block" schedule for specific dates. Additionally, many organizations implement A-Day or B-Day rotations to manage alternating student rosters. By manually selecting these specific schedules in your calendar, you ensure the system prompts teachers for attendance at the correct times and displays the appropriate student schedules for that specific day.
How to Assign a Schedule
To begin, locate the Calendar Icon in the top-right section of the Hero interface. This will open your school's monthly overview.
Click on the specific day you wish to assign or modify.
A window will appear with dropdown options for your student groups. If your school has multiple student groups, you must select the appropriate bell schedule for each one.
Click Update to save the changes for that date.
Using the Default Bell Schedule
If you prefer not to manually assign a schedule to every single day of the year, you can utilize the Default feature. This is the most efficient way to manage a calendar if you use the same bell for almost every day of the school year. When a schedule is set as "Default," it automatically populates on every date where a specific schedule has not been manually chosen.
To set a Default:
Navigate to Config > Bell Schedules.
Click the Edit (pencil) icon next to your primary schedule.
Check the Set As Default box located below the description.
Click Save.
Pro-Tip: Setting a default schedule ensures that today and all future dates are covered, even if you forget to manually update the calendar for a specific week.
Managing Updates
If a schedule has already been assigned but needs to be changed (for example, due to an unplanned early dismissal or weather event), simply return to the calendar, click the date in question, and update the selection.
