This article describes the process for mapping student data to import into SchoolMint Hero for System Administrators. Read more about what data can be mapped here. Student data can be imported at the district-level or the school-level. Navigate to the relevant section for next steps:
Note: We recommend importing at the school-level if you want student accounts to automatically deactivate when they are removed from your SIS. |
District-Level Import
1. Before navigating to the Import page, go to Config > Schools and select the pencil edit icon on the first listed school. Input the School ID in the Reference ID box (or ensure the ID is already entered) and click Save.
2. Repeat this step for every school in the district.
3. Next, navigate to the Imports page via Config > Imports. Click on Accounts in the upper right corner, then select + New Account.
4. Toggle ON "Group Level" and click Create. Copy the SFTP credentials and click Close.
5. Click on the Settings button in the upper right corner. Then select New Import in the upper right corner of the next page.
6. On the Import Settings page, make the following selections for a District-level import:
- Select Group Level
- Choose your district from the next dropdown. (The system will display a blue "Account Found" button if the SFTP setup in the previous steps was completed. If the system does not display "Account Found" please return to the beginning of these steps.)
- Select Student Import
- Select One Time if importing a one-time flat file or Daily if setting up automatic student imports. Then choose the Start Date (usually the current day).
- Enter the email address of the user doing the import.
- Save Settings
7. On the right side of the Import Settings page, select the relevant boxes:
- Has Header - Check this if the import file has a header row
8. Determine if the upload should allow for any errors. This can be useful for large files with some broken data that cannot be easily cleaned.
9. Select the file for upload or click the Upload from Cloud button if importing via SFTP.
Important: The import file name CANNOT contain spaces. For example, the file name "School import list.csv" will NOT import whereas, "Schoolimportlist.csv" will import. |
10. Complete Mapping.
11. Click Queue Import.
